By requesting, making, or paying for a reservation for any of the programs offered by Activonic SL, whether through its website or directly with Activonic SL, you declare that you accept the general booking conditions, payment terms, and cancellation conditions.
If the reservation, part of a reservation, or an additional service is made or contracted through an external agent(intermediary, operator, or travel agency not affiliated with Activonic SL), you also declare that you accept the general booking conditions established by said external agent, exempting Activonic SL from any liability related to the part of the reservation managed by that agent.
PADEL PROGRAMS
GENERAL BOOKING CONDITIONS
A reservation will be considered definitive in favor of the client provided the following three conditions are met:

Full payment: The total amount of the reservation has been paid, which includes the program price indicated on the website or other media, plus additional services not included in the program price, such as extra nights, flights, or other services requested by the client. Payment methods will be provided as deemed appropriate at any given time.

Compliance with payment deadlines: The client respects the established payment deadlines.
-
Reservation confirmation: Activonic SL expressly confirms the acceptance of the reservation through any available communication channel (email, phone call, etc.).
Even if the reservation payment has been made, it remains subject to confirmation of availability in associated establishments, such as hotels or other facilities. Activonic SL will verify availability with suppliers and notify the client as soon as final confirmation is obtained.
If availability cannot be guaranteed, the client will be informed as soon as possible and offered alternatives or, where appropriate, a refund of the amount paid.
Activonic SL reserves the right to cancel a reservation if the client fails to comply with the payment deadlines or the general cancellation conditions.
If a program cannot be carried out, in whole or in part, for reasons attributable to Activonic SL, a refund corresponding to the unused portion of the program will be issued (up to the total program amount or the amount paid at that time).
Adverse weather conditions preventing the program from taking place will not be considered grounds for cancellationor a breach attributable to Activonic SL.
Non-participation in the sports activities program for reasons attributable to the client, regardless of whether they stay at the hotel or travel to the program destination, will not entitle them to a partial or full refund of the reservation amount.
RESERVATION PAYMENT DEADLINES
The total amount of the reservation must be paid at the time of booking or within the following timeframes:

More than 55 calendar days before the program start date: The total reservation amount must be paid within 10 calendar days from the booking date.

54 calendar days or less before the program start date: The total reservation amount must be paid within 3 working days from the booking date.
-
In all cases: The total reservation amount must be paid before the program start date.
-
Special offers: Payments must comply with the specific conditions established for that offer.
Only compliance with these deadlines and the general booking conditions will guarantee the reserved spots.
If the total reservation amount is not paid within the indicated timeframes, Activonic SL reserves the right to cancel the reservation and assign the spot to another client within the same program. In these cases, the general cancellation conditions will apply.
GENERAL CANCELLATION CONDITIONS
Clients may only cancel a booked and/or paid program by written communication to info@vivaactivetravel.com. In that case, the following cancellation fees will apply:

Up to 45 calendar days before the start of the program: €29 administrative fee per reservation.

Between 44 and 22 calendar days before the start of the program: 25% of the total amount (program + additional services) per person.
-
Between 21 and 11 calendar days before the start of the program: 50% of the total amount (program + additional services) per person.
-
Within 10 calendar days prior to the start of the program: 100% of the total reservation amount (program + additional services) per person.
In the case of special offers, the specific cancellation conditions indicated for those offers will apply.
CANCELLATION GUARANTEE
Clients have the option to purchase a cancellation guarantee for their reservation, which will allow them to obtain a full refund of the reservation amount (except the €29 administrative fee) up to 48 hours before the start of the program, without needing to justify the reason.

Cost: €70 per reservation and per person.

Payment timing: The cancellation guarantee must be purchased at the time of booking or, at the latest, before the reservation is confirmed by Activonic SL.

Validity: The cancellation guarantee becomes invalid at 00:00 hours two days before the start of the program.
This guarantee can be purchased through the website during the booking process or by requesting it directly from Activonic SL through the available contact channels.
EXTRA ACTIVITIES
BOOKING AND CANCELLATION CONDITIONS: EXTRA ACTIVITIES
Nature of the Services
ACTIVONIC S.L. offers supplementary activities (hereinafter, “Extra Activities”) that may be provided directly with its own resources or by subcontracting third-party suppliers (restaurants, nautical charter companies, bicycle rentals, paddle surfing, golf, horseback riding, snorkeling, etc.).
Booking and Confirmation

Booking deadline: Extra Activities must be booked at least 48 hours in advance to ensure availability from third-party suppliers.
-
Payment: The activity reservation will only be considered confirmed once full payment or the stipulated deposit has been received.
Client Cancellation Policy
Given the nature of these activities and the commitments made to external suppliers, the following penalties apply in case of withdrawal:

Cancellations made more than 7 days in advance: 100% refund (minus possible bank management fees).
-
Cancellations between 7 days and 48 hours before the activity: Penalty of 50% of the total amount.
-
Cancellations less than 48 hours in advance or “No Show”: No right to a refund (100% penalty).
-
Note for Wine Tasting and Dinner: Being subcontracted catering services, cancellation deadlines are strictly subject to the final establishment’s policy. Any reduction in the number of diners with less than 24 hours’ notice will be billed according to the original reservation.
Modifications and Cancellations by the Organization

Weather Conditions: For outdoor activities (boat rides, bike rides, hiking trails), ACTIVONIC S.L. reserves the right to cancel or postpone the activity if weather conditions pose a risk. In case of cancellation for this reason, an alternative date or a full refund will be offered.

Minimum Group: Some activities require a minimum number of participants. If this is not reached, the client will be notified 24 hours in advance to offer an activity change or a refund.
Liability and Subcontracting

Intermediation: In activities such as the Wine Tasting and Dinner or subcontracted third-party services, ACTIVONIC S.L. acts solely as an intermediary. Civil liability derived from the provision of the service (food poisoning, accidents in third-party facilities, etc.) falls exclusively on the final service provider.

Equipment Rental: In Bike Rides, if the client rents equipment through ACTIVONIC S.L., they will be responsible for its proper use and any damage caused by negligence during the activity.
Cancellation Communication Procedure
For a cancellation request to be valid and for the corresponding refunds to apply according to the timeframes established in Section 3, the client must follow this procedure:

Mandatory Channel: The cancellation request must be sent exclusively in writing via email to: info@vivaactivetravel.com. Cancellations communicated exclusively verbally, by phone, or via instant messaging (WhatsApp or similar) without subsequent email backing will not be accepted.

Message Content: The email must include:

Full name of the reservation holder.
-
Name of the Extra Activity (e.g., Wine tasting, Boat ride, etc.).
-
Scheduled date and time of the activity.
-
Reservation locator (if available).
-

Timeframe calculation: The date and time the email is received will determine the applicable penalty bracket (according to the 7-day, 48-hour margins, etc.).
-
Receipt confirmation: ACTIVONIC S.L. will send an acknowledgment of receipt confirming the request and, where applicable, the refund amount to be made. The refund process will be processed within a maximum of 7 working days using the same payment method used for the booking.
SUMMER CAMP
-
SPOTS: Spots are limited and allocated strictly on a first-come, first-served basis for bookings. BERNIER SUMMER CAMP reserves the right to suspend services with THREE DAYS’ notice for not reaching the minimum number of spots or due to adverse circumstances, in which case the corresponding and proportional amount of the amounts paid will be refunded, without any compensation.

PARTICIPANT AGES: Children between the ages of 4 and 16 may participate in the BERNIER SUMMER CAMP. Additional documentation may be requested to certify information.

SCHEDULES: Participant pick-up will take place at the established time. An occasional delay in pick-up will incur a cost of €5 per participant for every 5-minute fraction. REPEATED DELAYS (more than THREE DAYS) will result in dismissal from the service, refunding the corresponding and proportional amount for the unused period. In case of non-pickup, the protocol according to current regulations will be activated, informing the Competent Authorities.

MODIFICATION OF CONTRACTED PERIODS: Any modification to the period and/or service contracted in this registration must be made in writing by sending an email to campusbernier@gmail.com, with TEN DAYS’ NOTICE. Under no circumstances will changes be accepted once the contracted services or periods have begun.

WITHDRAWAL: Withdrawal or cancellation of the services contracted in this registration must be formalized in writing by sending an email to campusbernier@gmail.com, TEN DAYS before the contracted services. Failure to complete this procedure within the indicated time and manner does not constitute withdrawal even if the services are not used; therefore, the corresponding amounts will be claimed and/or will not be refundable if already paid. Once the entire registration process has been completed, if a COMPLETE CANCELLATION is made on time and in proper form, only the contracted and paid services will be refunded, but €10 of the amount paid will be retained for management fees (excluding bank charges for refunds to accounts in banking entities different from the payment account (€5)). Once the service regulating the registration has started, abandonment for ANY REASON, except for force majeure (fire, catastrophe, earthquake, long-term hospital admission…), will not result in a refund of the amounts paid, either totally or partially.

PAYMENT FOR SERVICES REFLECTED IN THIS REGISTRATION: You will be billed for the services contracted in this registration and those informed through the means enabled for modifications. Failure to comply with the form, amount, and payment schedule will deny access to the service and any other service managed by BERNIER SUMMER CAMP. This claim is effective for those who, even without having used the services, have not formalized their withdrawal according to the procedure reflected in the previous point.

REFUNDS: The amount paid for registration (where applicable) IS NON-REFUNDABLE in any case, and for the remaining payments made, refunds will only be considered for long-term absences (more than ten days) caused by illness (medical note) or those withdrawals communicated on time and in proper form (No. 5). NO PRICE REDUCTIONS ARE GRANTED FOR ABSENCES. In the event of a refund, it will generally be made via bank transfer, deducting €5 for bank management fees if the receiving entity is different from the one where the payment was made.

SPECIAL NEEDS: It is IMPERATIVE to communicate any special educational needs. Each case will be studied individually.

BERNIER SUMMER CAMP reserves the right to cancel the registration for omission or falsehood in the data requested in this form, in which case no refund will apply.

BERNIER SUMMER CAMP reserves the right to dismiss participants for breach of the service’s operating and behavioral rules.

BERNIER SUMMER CAMP and ITS STAFF ARE NOT RESPONSIBLE FOR THE LOSS, THEFT, AND/OR BREAKAGE OF TOYS, VALUABLES, AND/OR MONEY BROUGHT BY THE PARTICIPANTS. Under no circumstances will BERNIER SUMMER CAMP staff assume custody and safekeeping of the aforementioned items.

BERNIER SUMMER CAMP and ITS STAFF ARE NOT RESPONSIBLE FOR THE LOSS, THEFT, AND/OR BREAKAGE OF ORTHOPEDIC EQUIPMENT (hearing aids, glasses, etc.).

BERNIER SUMMER CAMP, AS A GENERAL RULE, WILL NOT ADMINISTER ANY MEDICATION TO PARTICIPANTS. For exceptions, please inquire.

ADMINISTRATIVE MANAGEMENT OF THE SERVICE: Only the signatory/signatories of this registration will be administratively recognized for the management of the service, issuing: modifications, withdrawals, requests for certificates, and requests for invoices.

CUSTODY OR GUARDIANSHIP PROTOCOLS: For the well-being of the minors and strictly following the legislation in this regard, unless there are judicial rulings and/or measures (duly justified), both legal guardians will be understood as responsible for custody and guardianship purposes. Both BERNIER SUMMER CAMP and its staff will strictly limit themselves to complying with current regulations in this regard, avoiding at all times taking a position in potential conflicts. Requests outside these limits will result in dismissal from the service.

DATA MANAGEMENT: ACTIVONIC SL, located at Calle Salado nº 10, Portal 1, Bajo derecha 41010 Seville (Spain), with CIF B90483876 and email campusbernier@gmail.com, processes your personal data to provide the requested service consisting of summer sports activities and entertainment. Such data will be kept for the necessary period according to current regulations. You have the right to obtain confirmation as to whether ACTIVONIC SL is processing your personal data, and therefore you have the right to access your personal data, rectify inaccurate data, or request its deletion when it is no longer necessary. Furthermore, through the following registration, you authorize ACTIVONIC SL to transfer the requested data from the center where the service is performed; if you do not agree, WE WILL NOT BE ABLE TO PROVIDE THE SERVICE.

BERNIER SUMMER CAMP will address all suggested complaints/claims.

ACCEPTANCE OF CONDITIONS: The completion, signing, and submission (digital or analog format) of this registration entails FULL KNOWLEDGE AND ACCEPTANCE OF THE GENERAL AND SPECIFIC CONDITIONS established in this registration.
