GENERAL BOOKING TERMS AND CONDITIONS 

By requesting, making, or paying for a reservation for any of the programs offered by Activonic SL, either through its website or directly with Activonic SL, you declare that you accept the general terms and conditions for reservations, payment deadlines, and cancellations. If the reservation, part of a reservation, or an additional service is made or contracted through an external agent (intermediary, operator, or travel agency not affiliated with Activonic SL), you also declare that you accept the general terms and conditions of reservations established by the external agent, thereby exempting Activonic SL from any liability related to the portion of the reservation arranged through the external agent.

GENERAL RESERVATION CONDITIONS

A reservation will be considered a full right of the client provided the following three conditions are met:

  1. Full Payment: The full reservation amount has been paid, which includes the program price as listed on the website or any other medium, plus additional services not included in the program price, such as extra nights, flights, or other additional services requested by the client. Payment methods will be provided as deemed appropriate at the time.
  2. Compliance with Payment Deadlines: The client adheres to the established payment deadlines.
  3. Reservation Confirmation: Activonic SL explicitly confirms the acceptance of the reservation through any available communication channel (email, phone call, etc.).

Even if the reservation payment has been made, it will remain subject to the confirmation of availability at associated establishments such as hotels or other facilities. Activonic SL will verify availability with providers and notify the client as soon as final confirmation is obtained.

If availability cannot be guaranteed, the client will be promptly informed and offered alternatives or, if necessary, a refund of the amount paid.

Activonic SL reserves the right to cancel a reservation if the client fails to meet payment deadlines or general cancellation conditions.

If a program cannot be carried out, either partially or fully, due to reasons attributable to Activonic SL, a refund corresponding to the unused portion of the program will be provided (up to the total program price or the amount paid at the time).

Adverse weather conditions preventing the program from taking place are not considered grounds for cancellation or non-performance attributable to Activonic SL.

Failure to participate in the sports activities program for reasons attributable to the client—whether or not they stay at the hotel or travel to the program destination—will not warrant a partial or total refund of the reservation amount.

RESERVATION PAYMENT DEADLINES

The full reservation amount must be paid either at the time of booking or within the following timeframes:

  • More than 55 calendar days before the program start date: The full reservation amount must be paid within 10 calendar days from the booking date.
  • 54 calendar days or less before the program start date: The full reservation amount must be paid within 3 business days from the booking date.
  • In all cases: The full reservation amount must be paid before the program start date.
  • Special Offers: Payments must comply with the specific conditions outlined for the special offer.

Only compliance with these deadlines and general reservation conditions will guarantee the reserved slots.

If the full reservation amount is not paid within the specified deadlines, Activonic SL reserves the right to cancel the reservation and replace it with another within the same program. In such cases, the general cancellation conditions will apply.

GENERAL CANCELLATION CONDITIONS

Clients may only cancel a booked and/or paid program by written communication to info@vivaactivetravel.com. In such cases, the following cancellation fees will apply:

  • Up to 45 calendar days before the program start date: €29 administrative fee per reservation.
  • Between 44 and 22 calendar days before the program start date: 25% of the total amount (program + additional services) per person.
  • Between 21 and 11 calendar days before the program start date: 50% of the total amount (program + additional services) per person.
  • Within 10 calendar days of the program start date: 100% of the total reservation amount (program + additional services) per person.

For special offers, specific cancellation conditions will apply.

CANCELLATION GUARANTEE

Clients have the option to purchase a cancellation guarantee for their reservation, entitling them to a full refund of the reservation amount (excluding the €29 administrative fee) up to 48 hours before the program start date without needing to provide a reason.

  • Cost: €70 per reservation per person.
  • Payment Timing: The cancellation guarantee must be purchased at the time of booking or, at the latest, before the reservation is confirmed by Activonic SL.
  • Validity: The cancellation guarantee becomes invalid at 00:00 two days before the program start date.

This guarantee can be purchased through the website during the booking process or by requesting it directly from Activonic SL through the designated contact channels.
